Welsh League at Newborough Forest

October 22 - October 23

Senior Home Internationals & Welsh League Newborough Forest 22nd & 23rd October 2016

The event weekend will combine the 2016 Senior Home Internationals (SHI), featuring the best orienteers from the four Home Nations, and two days of regional events, as part of the Welsh orienteering league. Only runners registered, as “CYM” will get league points.

Event Outline: On “Newborough Forest”, a newly revised map for the event, on intricate forested sand dunes, but unusual for sand dunes, the area also has a rocky ridge, with steep crags. Last used for 2013 Welsh Championships (and the JOK Chasing Sprints). The area is a working woodland of Natural Resources Wales (NRW have taken over forestry responsibility in Wales), as well as a very popular outdoor area. Map scales will be 1:7,500 for all courses, except Brown and SHI courses (at 1:10,000), with contours at 2.5m. Entries are through Fabian on-line entry system (fabian4.co.uk) until 19 Oct 16.

Access: Access through Newborough village on Anglesey: “O” signed from LL61 6SG (SH406635).

Most competitors will travel west along A55 (signed “Holyhead”). Exit at first junction after Britannia Bridge (Junction 8A), taking care in restricted speed zone when dual carriageway reduces to single carriageway. Travelling from Holyhead direction, you will need to leave at Junction 7. Initially follow signs for Llanfairpwll, then A4080.

Head for Newborough village, turning off a small roundabout just before the village, signposted “Aberffraw”. On Newborough village main street, an “O” sign will direct you left towards main beach car park, also signed “Llys Rhosyr” and “Llandwyn Island”, nearest postcode LL61 6SG. Follow narrow road to barrier (manned/closed after 9am, with daily parking charge of £4).

Take care along narrow road, and give way to other traffic. Take care along main access road (after barrier): runners may cross the road at any point, but there are wide grass verges to give you enough warning. Speed limit is 15mph.

Parking is in main beach car park, and may be busy with other users: it’s the start of Half Term and the area is very popular with other users. In the unlikely event this is full, event staff will help you park. Toilets are in the permanent block at the car park.

General:

SI Beacon mode will NOT be activated on any control.

Map Changes: Index contours have been replaced with ordinary contours. Magnetic N lines are blue (not black). A Black “X” is used on the map for play equipment & fitness stations.

Course Descriptions: IOF symbols for SHI, and Light Green & above; IOF symbols & (English) text for Orange & Yellow. Loose sheets will be available after call-up.

Results: Interim results will be on display in Results/Download as they are processed. Final results are expected to be uploaded onto Deeside Orienteering Club website each evening. Up-load onto British Orienteering website (and calculation of ranking points) will take longer.

Senior Home Internationals: SHI Day 1 individual courses will start from 10.30am and SHI Day 2 relays will start at 10.00am. On both days there will be a spectator control and the relays will have a spectator area overseeing the relay arena (start / handover / finish) – come along and cheer the best of UK’s orienteers fighting for victory. Please do not interfere with any runner’s progress along their course.

SHI Prize-giving: The Prize giving and announcement of SHI results is planned for 2pm, but actual time will be dependent on final compilation of results. Please come along and support the home nation teams.

Complaints & Protests: Any Complaints should be raised to Organiser (via Enquiries). Any unresolved Complaints will be raised as Protests to Event Jury. Both should be in writing.

Volunteers: If any participant would like to volunteer for any potential jury (Level B Controller), please speak to Enquiries (or volunteer before). If anyone is available after the courses close to help collect controls, please meet at Enquiries at 5pm (if everyone has returned earlier, a notice will be displayed). Bring a headtorch if you have one ! There will be some available.

Data Protection: Entry details will be stored on a computer for the process of results calculation. Competitor basic details will be displayed as part of results on both Deeside OC and British Orienteering websites.

Safety:

Clothing and Equipment: Body cover in accordance with British Orienteering rules. Whistles are compulsory. There will be no clothing dump.

First Aid: anyone requiring assistance should report to Enquiries, where event first aiders will deal (or call emergency services as required).

Download: All participants MUST report to Download even if you do NOT finish the course. Failure may result in a search party (and potential involvement of emergency services).

Safety Bearing: generally travel south to area of beach, and return to main car park.

Dogs: dogs can be in area, but under control, and kept away from runners in full flight.

Horses: the area is popular with horse riders and carriage drivers. They are aware of our event, but you may come across riders. If the horse and rider have not seen you (especially coming from behind), please shout “GOOD MORNING” so that neither are shocked by a sudden appearance.

Water: There will be no water supplied on the course.

SHI Information:

M21E course has 30 controls, so runners will need to check SI-card capacity: note that “SI-8” and “ComCard Up” have only 30 with no spare slots, so must not be used. There will be a few spare SI-5 cards to borrow if competitors can let the organisers know beforehand.

Individual starts (Day 1) will be from 10.30am. SHI start is about 1500m from Assembly Area, along forest track, signposted “RED” start. It will be a “silent start”, with safety information on display in holding area, on beach. Timing will be from a timed start in accordance with start list, with late starters departing at next available time slot. Start list will be emailed to Team Managers prior to the event (once runner start order received).

Rubbish bags will be provided at SHI start – please empty and crush water bottles first.

There will be a Day 1 spectator control visible from the north end of the car park, marked with tape. Please do not cross the tape.

Maps will be collected at Finish prior to 11.46am (last planned start time) and, if necessary, can be collected from Enquiries after last runner has departed.

Relay starts will be 10.00am for women, and 10.10am for men. Mini mass starts, if required, will be after first 3rd leg runner departs, and after first 3rd leg runner finishes.

There will be a Day 2 spectator control (except for W20’s) to the south of the handover area, again marked with tape, again please do not cross. Team Managers can have water and/or gel ready for runners at this point (“with a few km to go”). Runners should take care if route choice takes them in vicinity of car park and main access roads. There will be a spectator area of high ground overlooking the relay arena – start / handover / finish.

For the relays, second and third leg runners will collect their maps through the Results tent (in area of relay arena) before moving into holding area. If needing to leave holding area, maps must be handed back to event officials. Incoming runners can be seen about 100m from changeover box.

Prize-giving for Day 1 will be at evening meal. Prize-giving for overall result is planned for 2pm, but will be as soon as results have been confirmed (by Controller).

Welsh League Information:

There will be some entry on the day, depending on limited map availability. Costs are £8 for seniors and £4 for juniors on Orange and Yellow, and £10 and £4 (plus a non-member surcharge of £2) for all other courses. There will be SI-units available for loan, but we will charge £30 for any that are lost. Additional maps for family groups may be available at £1. Enquiries & EOD will be running from 11am, although Registration will be from 12pm.

Both Welsh League days will have seven courses (Yellow, Orange, Light Green, Short Green, Green, Blue and Brown). There will be NO String Course. There will be experienced orienteers on hand, in Enquiries, to help if required.

The Welsh League start will be less than 200m from car park, just to the north of the main beach car park and will be signposted “BLUE” start from Assembly Area. SHI start will be signposted “RED” start.

Welsh League starts will be between 12.30pm and 2.30pm, with courses closing 5.15pm. Helpers may be starting outside this window. Start times are not allocated and it will be a punching start – turn up and go at the next available time slot. There are quite a few runners, particularly on Blue and Green. Please be patient, as we deal with the fantastic but unexpected number of Welsh League runners.

Yellow and Orange course runners can obtain their map to study prior to starting. They must not be shown to any other competitor.

There will be no map collection after you finish – do not show your map to others.

Catering and Equipment Suppliers: There will be on-site catering from the local trader team from about 9.30am, and Ultrasport are expected (for Saturday ONLY), for those last-minute needs. The Welsh Junior Orienteering Squad will have a cake stall to raise funds for their participation in orienteering.

Event Team: Contact the Event Organiser if anything further is required.

Organiser: Jim Wood, Eryri (07887 885848, )

Planner (& Mapper): Bill Teahan, Eryri                             Controller: John Kewley, MDOC
